Privacy Policy

Information we collect

• Account information. Your name and email address, and either a hashed password or, if you sign in with Google or Microsoft, the basic profile information those providers share (name, email, profile image). We never see your Google or Microsoft password.
• Documents you upload. The files you submit (insurance certificates, licenses, permits, filings, and similar) and the text we extract from them. These may contain personal or sensitive information; you choose what to upload.
• Extracted & entered data. Obligations, due dates, amounts, entities, and notes derived from your documents or entered by you.
• Contact details for reminders. Email address and, if you enable SMS, a phone number.
• Billing information. Subscription status and customer identifiers from our payment processor. Card details are handled by Stripe; we do not store full card numbers.
• Usage & technical data. Log data, device/browser information, and error diagnostics used to operate and secure the service.

How we use your information

• Provide the service: extract deadlines, build your dashboard, and generate proof pages.
• Send the reminders and notifications you configure (email and SMS).
• Process payments and manage subscriptions.
• Provide support, maintain security, prevent abuse, and debug problems.
• Improve the product. We do not sell your personal information.

AI processing of your documents

To identify deadlines, the contents of your documents (as text or images) are sent to third-party AI providers we use as processors — currently OpenAI, Google, and Anthropic — solely to perform the extraction and return structured results. We instruct these providers to process the data only to provide the feature and not to train their models on it where such controls are available. We do not use your document contents to train our own models.

Service providers (subprocessors)

We share data only with vendors that help us run ReadyProof, under contract:

• Supabase — database and document storage.
• Vercel — application hosting.
• Stripe — payment processing.
• Resend — transactional and reminder email.
• Twilio — SMS reminders (if enabled).
• OpenAI, Google, Anthropic — AI document extraction.
• Sentry — error monitoring.

We may also disclose information if required by law or to protect the rights, safety, or security of ReadyProof and its users.

Sharing you control

ReadyProof lets you create public “proof page” links that display your current compliance status to anyone who has the link. You decide whether to create or revoke these links and what they include. Anything you publish through a proof page may be viewed by people you share the link with.

Data retention

We keep your information for as long as your account is active and as needed to provide the service. You can delete documents and obligations at any time. When you ask us to delete your account, we remove your personal data and uploaded documents within 30 days, except where we must retain limited records to comply with legal, tax, or security obligations.

Security

Documents are stored in a private storage bucket and served only through short-lived signed links. Connections are encrypted in transit (HTTPS). No system is perfectly secure, but we take reasonable measures to protect your data.

Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, email us at support@readyproof.app.

Children

ReadyProof is not directed to children and is intended for users 18 and older.

International transfers

We operate in the United States and use providers that may process data there. By using the service you understand your information may be processed in the U.S. and other countries.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date above and, where appropriate, by additional notice.
